This Privacy Policy explains how Rooming Property Solutions Inc. ("Rooming," "we," "us," or "our") collects, uses, and shares information when you visit getrooming.com or use the Rooming landlord portal and tenant portal (together, the "Services"). By using the Services, you agree to the practices described here. This policy works together with our Terms and Conditions.

1. Information we collect

Information you give us

• Demo requests and inquiries. When you book a demo or contact us, we collect your name, email address, company, the number of units you manage, and anything else you choose to tell us.
• Account information. When you create an account, we collect information such as your name, email address, phone number, company, and login credentials.
• Landlord and property manager information. Landlords and property managers may add information about their properties, units, leases, rent amounts, and tenants, including tenant names and contact details.
• Tenant information. Tenants may provide contact details, emergency contacts, lease information, maintenance requests (including photos, video, or audio), documents, and messages sent to the property assistant.

Payment information

When rent or other payments are made through Rooming Pay, card and bank details are collected and processed by our payment processing partners. We receive payment records, such as the amount, date, payment method type, and status, so landlords and tenants can see their payment history. Landlords may also record payments made outside Rooming, such as cash, check, or Venmo.

Information collected automatically

When you visit our website, our hosting provider may automatically log technical information such as your IP address, browser and device type, the pages you visit, and the date and time of your visit.

If you use location-based features, such as finding nearby service providers or things to do near a property, we use the property address or, if you give permission, your device's location.

Information from others

We may receive information from other sources, including a landlord who adds you as a tenant, an accounting service like QuickBooks if you choose to connect it, and our scheduling provider when you book a demo.

2. How we use information

We use information to:

• Provide, operate, and maintain the Services, including the landlord portal and tenant portal
• Process rent payments and show payment history
• Deliver maintenance requests to the right people and help find service providers
• Power the property assistant so it can answer questions about a property or lease
• Respond to demo requests, questions, and support requests
• Send service messages, such as receipts, reminders, and account alerts
• Send marketing messages, which you can opt out of at any time
• Keep the Services secure, prevent fraud, and fix problems
• Improve the Services and develop new features
• Comply with legal obligations and enforce our Terms and Conditions

3. How we share information

We do not sell your personal information. We share information only as described below.

• Between landlords and tenants. Rooming connects landlords and property managers with their tenants. Information a tenant submits, such as payments, maintenance requests, and messages, is visible to their landlord or property manager, and a landlord's property and lease details are visible to their tenants.
• Service providers. We work with companies that help us run the Services, such as hosting, payment processing, email and text message delivery, scheduling, accounting integrations, mapping and business listings, and AI services that power the property assistant. They may use information only to provide services to us.
• Renters insurance partner. If a tenant requests a renters insurance quote, the information they enter is shared with our insurance partner, REIN, and its insurance providers, and is handled under their privacy policies.
• Legal and safety reasons. We may share information if required by law, or to protect the rights, property, or safety of Rooming, our users, or others.
• Business transfers. If Rooming is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
• With your consent. We may share information for other purposes when you ask us to or agree to it.

4. Cookies and third-party tools

Our website does not use advertising cookies or tracking pixels. Some third-party tools we use, such as our demo scheduling calendar and web font provider, may set cookies or collect technical information like your IP address when they load. Those tools are governed by their own privacy policies. You can control cookies through your browser settings.

5. How long we keep information

We keep information for as long as your account is active or as needed to provide the Services. We may keep some information longer when necessary to meet legal, tax, or accounting obligations (such as payment records), resolve disputes, or enforce our agreements.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your password private and let us know right away if you think your account has been accessed without permission.

7. Your choices and rights

• Access, correction, and deletion. You can ask us to access, correct, or delete your personal information by contacting us. Some information may need to be kept for the legal reasons described above.
• Marketing emails. You can unsubscribe using the link in any marketing email.
• Text messages. You can stop text messages at any time by replying STOP.
• State privacy rights. Depending on where you live, you may have additional rights under state law. Contact us to make a request, and we will respond as required by applicable law.

If you are a tenant, some of your information is managed by your landlord or property manager. We may refer your request to them or work with them to respond.

8. Children

The Services are intended for people who are at least 18 years old. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.

9. Links to other sites

The Services may link to websites we don't operate, such as our renters insurance partner's quote page. We are not responsible for the privacy practices of those sites, so please review their policies.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we'll change the "Last updated" date at the top. If we make significant changes, we'll take reasonable steps to let you know, such as by email or a notice in the Services.
